Changing a truck driving course booking can mean cancelling the course, moving it to another date, missing a session or deferring the Practical Driving Assessment (PDA). We handle these situations differently. The starting point is a written cancellation or rescheduling request, with enough detail to identify the booking and the change you need.
Our truck driving course cancellation policy applies to enrolled students, employer-funded bookings and all training, lessons and assessments we deliver. The notice you give affects the ordinary cancellation outcome. A postponed course and a deferred assessment also have different deadlines, so keeping the course date and assessment arrangements separate is important.
Start With a Written Request
All cancellation or rescheduling requests must be submitted in writing. Include your name, the scheduled course date and whether you want to cancel or move the booking. These details help explain your request without leaving the intended outcome unclear. A telephone discussion can help you explain the situation, but it does not replace the written request.
Send your request as soon as you know your plans have changed. Use working days, not simply calendar days, when considering the notice period. For example, a request made several calendar days before training should not automatically be treated as meeting a five-working-day requirement. Keep a copy of your written notice alongside your booking details so you can refer to both dates together.
With five or more working days’ written notice before the scheduled course, you are eligible for a refund of fees paid less than a $100 administration fee, or rescheduling at no additional cost. These are our ordinary sufficient-notice options. The administration deduction relates to this cancellation arrangement, not every possible refund arising from a problem with a service.
With less than five working days’ notice, our ordinary cancellation terms provide no refund and the full cancellation/no-show fee applies, subject to approved extenuating circumstances. Our student information includes the Cancellation & No-Show Policy, Fees, Charges and Refunds Policy and Refund Request Form. These documents explain the notice requirements and the process for circumstances that need individual consideration.
Cancellation Is Different From a No-Show
A cancellation tells us before the course that you will not attend; a no-show means failing to attend on the day. Cancellation within 24 hours and non-attendance trigger the full course fee, and the original booking cannot be rescheduled under the existing cost. If training is rebooked in these circumstances, we issue a new invoice. The 24-hour provision does not create a free rescheduling window between one and five working days before training.
Lessons that are missed and not paid for result in the PDA being forfeited. This is a specific consequence for missed, unpaid lessons, not a description of every assessment deferral. If your concern is readiness for the assessment after training, the deferred-PDA credit arrangements below address that situation separately.
Being Ready to Participate
The full course fee also applies when a student cannot participate because they do not present a valid WA driver’s licence, do not wear required or recommended clothing such as closed shoes, or fail mandatory requirements such as eyesight checks. This includes not wearing prescription lenses required by licence conditions. Preparing these items before the session helps avoid arriving for training but being unable to take part.
Our ordinary no-refund terms also cover failing to attend or complete training without a valid reason, starting training and choosing not to proceed, failing a PDA and electing not to rebook, and leaving mandatory online theory incomplete where this affects training delivery. These are attendance, participation and withdrawal circumstances. They are not a statement that a student has no remedy if the service itself is defective or undelivered.
Moving Your Course to Another Date
You may postpone your course once only, with written notice received at least five working days before the scheduled course. For a truck licence course reschedule, the practical distinction is whether you still intend to take the course. A postponement keeps that intention in place, but it is not an arrangement for repeatedly moving the booking.
The postponed course must be confirmed and rebooked within three months of the original booking date. If it is not rebooked within that period, the booking is forfeited and no refund applies under our postponement terms. Leaving a future date undecided does not remove that deadline. Keep the original booking date with your proposed replacement arrangements so the three-month period remains clear.
When you move a course with us at Blue Horse Truck Driver Training, our postponement arrangements concern the course booking, not a separate assessment credit after training. That distinction matters if your circumstances change at different stages: moving the whole course before it begins and delaying a PDA after your last training session use different starting dates for their deadlines.
A Deferred PDA Is Not a Course Cancellation
If you defer or are not ready to sit your PDA, we keep the assessment in credit for a maximum of three months from your last date of training. Our fees policy also provides this credit where a student is advised to defer. The relevant date is the last training session, not the original course booking date used for postponements.
One Department of Transport PDA attempt is included in the initial course fee. Because the assessment is included in that fee, it cannot be claimed as a part refund simply because it is not undertaken. Deferring or declining the PDA after training has commenced does not make it a separately refundable item under our ordinary cancellation terms. This is distinct from remedies for a failure to supply the agreed service.
If you need additional training or another assessment, these are charged according to our Schedule of Fees and Charges. Our course pricing lists extra lessons and reassessment charges alongside course options. Use the entry relevant to your training when considering further costs; an unused assessment credit and a new assessment booking should not be treated as the same question.
Illness and Other Extenuating Circumstances
We recognise that illness and emergencies can prevent attendance. If illness affects your scheduled session, a medical certificate must be provided within 48 hours of that session. Rescheduling may be considered at our discretion. Providing a certificate supports consideration of the circumstances; it does not automatically approve a new date or refund.
Refund requests involving extenuating circumstances require a completed Refund Request Form and CEO approval. Illness, relocation and legitimate work commitments are examples considered case-by-case, and supporting documentation may be required. Explain what prevented attendance or continuation, identify the affected booking and include relevant evidence. A clear account connects the circumstances to the change you are requesting without assuming that every personal scheduling conflict qualifies.
Approved refunds are processed within seven working days of receiving a completed refund request form. We do not process refunds without the completed form. This is a processing timeframe for an approved refund, not a promise that every request will be approved or that the seven-working-day period begins with an initial telephone conversation.
Employer-Funded Bookings
For employer-paid bookings, the organisation responsible for payment remains liable for full payment regardless of attendance outcomes. This includes cancellation within 24 hours and student non-attendance. A student being unable to attend does not, by itself, release the organisation from that payment obligation under our booking terms.
If your employer arranged the booking, include the organisation’s details when explaining the change. This helps keep the student’s attendance arrangements and the payer’s involvement connected. Describe whether the request concerns cancelling the course, postponing it or an exceptional circumstance, so the intended change is clear to everyone involved.
When We Change the Course
If we cancel a course, or move it to a time or location unsuitable for you, we offer an alternative course date or a full refund. This is different from a student choosing to cancel, and the $100 administration deduction for an ordinary sufficient-notice student cancellation does not apply to a refund for our course cancellation.
Where unforeseen circumstances such as a vehicle breakdown require postponement, we reschedule the course or hold it in credit for a mutually suitable time. The nature of the change matters: a breakdown-related postponement has these arrangements, while cancellation or an unsuitable change of time or location has the alternative-date or full-refund options above.
Your Consumer Rights and Next Step
Our change-of-mind and attendance terms do not remove applicable Australian Consumer Law remedies for defective or undelivered services. The NSW Government’s service cancellation guidance explains consumer rights concerning care and skill, fitness for purpose and delivery within a reasonable time where no end date was agreed. This is consumer guidance, not a source of WA driver-licensing rules. A service problem is different from simply changing your mind about attending.
For a booking change, put the request in writing with your course date, the outcome you want and any relevant supporting documents. Keep the original booking date handy for a postponement, or the last training date for a deferred PDA. You can contact us to discuss the circumstances and the next step for your booking.
